We are currently looking for a new member for the Local Back Office team to join us in the position of Assistant.

Working Place: Sonae Sierra's Central Offices in Germany

Requirements:

• Proven experience as a receptionist, secretary or administrative assistant
• Fluency in English and German (mandatory)
• Proficiency in Microsoft Office Suite
• Solid written and verbal communication skills
• Strong team player with the ability to work effectively in a team
• Ability to work independently and take initiative
• Excellent organizational and time management skills with the ability to prioritize tasks efficiently

Responsibilities:

• Greet and welcome visitors in a professional and friendly manner
• Handle incoming mail, invoices and packages, including opening, registering, and distributing correspondence
• Scan and process incoming invoices (e.g., in SAP and SPOT systems) and file them appropriately
• Scan and send payment reminders
• Be responsible for the organization and coordination of conference rooms
• Maintain and manage the archive of invoices
  
• Copy and archive guarantees and certificates
• Scan legal contracts and forward them to the legal department
• Answer and direct national and international phone calls and e-mails
• Support the Office Management team with administrative and organizational tasks
Assist with scheduling, meeting room coordination, and general office coordination
